Objectives

The mining company set out to modernise and transform its Human Resources (HR) ecosystem as part of a broader digital uplift.   The objectives of the SAP SuccessFactors implementation were to:

  • Establish a single source of truth for employee master data across corporate, mining, and processing operations.
  • Streamline and automate end-to-end people processes, from recruitment through to onboarding, time capture, and employee administration.
  • Enhance workforce visibility and operational readiness with accurate, real-time data related to headcount, labour availability, and compliance.
  • Improve employee experience by providing intuitive, self-service digital tools for managers, employees, and candidates.
  • Strengthen governance and security using standardised data models, role-based permissions, and controlled workflows.
  • Build scalable HR foundations capable of supporting future growth, advanced workforce planning, and integration with payroll, ERP, and operational systems.
  • Drive high organisational adoption through structured change management, communication, and capability-building programs.

Scope of the Implementation

The HR transformation program deployed a suite of SAP SuccessFactors modules tailored to the organisation’s complex workforce needs:

  • Employee Central (EC) – Served as the core system of record for all employee master data.   Standardised job structures, pay grades, reporting lines, and organisational units across corporate, mining, and site-based operational teams.   Enabled automated employee lifecycle processes including hire, transfer, termination, and reporting.
  • Recruitment & Recruitment Marketing – Digitised candidate sourcing, requisition management, and end-to-end hiring workflows.   Enabled job posting automation, applicant tracking, and structured assessments for both blue-collar and professional roles.   Improved hiring visibility for managers through dashboards and approval workflows.
  • Onboarding – Automated pre-start activities, compliance checks, and induction requirements for new employees and contractors.   Delivered a guided onboarding experience including documents, policies, training modules, and welcome tasks.   Integrated with Employee Central to ensure seamless day-one readiness.
  • Time & Attendance Management – Provided digital timesheets, shift scheduling, and work pattern management for site-based employees.   Integrated with ERP and payroll to ensure accurate labour costing, fatigue management, and overtime controls.   Standardised leave processes and approvals via mobile and desktop self-service.
  • Supporting Initiatives – Developed a unified HR data model and cleansed legacy records to ensure accuracy and reliability.  Defined secure, auditable access aligned to HR, supervisors, administrators, and site leadership.   Delivered targeted communication, super-user networks, and role-specific training for HR staff, leaders, and end users.

Implementation Approach

The project followed a phased approach aligned to workforce mobilisation and operational ramp-up:

  • Foundation Build – Configured Employee Central as the authoritative HR database.   Developed foundational structures such as the position hierarchy, job catalogue, compensation ranges, and site-based organisational units.   Migrated cleansed master data from legacy HR systems and spreadsheets.
  • Talent Acquisition Stream – Activated Recruitment and Onboarding modules to support rapid workforce scaling during construction and ramp-up.   Built standardised requisition templates, assessment workflows, background checks, and digital offer processes.   Configured onboarding journeys tailored for site operations, corporate roles, and contractors.
  • Time & Attendance Integration – Implemented digital time capture aligned with complex rosters and shift cycles typical of mining environments.   Integrated time valves with ERP for cost allocation and payroll for accurate wage calculations.
  • Change, Training & Adoption – Embedded change management and training throughout the project lifecycle.   Implemented a communication strategy to manage expectations and promote engagement.
